Terms of Service
Effective date: August 28, 2026
These terms are an agreement between you and FireCal LLC ("FireCal", "we", "us", "our"). They govern your use of the FireCal platform and our applications. Please read them. Section 12 limits what our software is for, and section 13 limits our liability, and both matter.
1. Accepting these terms
By creating a FireCal account, or by using any FireCal application, you agree to these terms and to our , which is part of this agreement.
When you sign up, we record that you accepted, when you accepted, and which version of these terms you accepted.
If you are agreeing on behalf of a fire department or other organization, you represent that you are authorized to bind that organization, and "you" includes that organization.
2. Which applications these terms cover
These terms cover the FireCal platform, firecal.app, your FireCal account, and the FireCal applications published by FireCal LLC, including TruckCheck, TaskBook, CertLocker, Shifts, Dispatch, Training, RunReport, and FireLine, together with any application we later add to the family (the "Services").
These terms do not cover the legacy CertLocker application. The original CertLocker app, published before the FireCal platform, runs on separate infrastructure and keeps its own terms at docs.certlocker.app. If you use that app and have not moved to the FireCal platform, those terms apply to you instead.
3. Eligibility
You must be at least 13 years old to hold a FireCal account, and you must be old enough to form a binding contract where you live. The Services are workplace tools intended for fire service personnel and the departments that employ or enroll them.
If your department runs an explorer, cadet, or junior program that enrolls minors, your department is responsible for obtaining whatever consent its program and local law require before creating accounts for them.
You may not use the Services if we have previously terminated your account, unless we agree in writing.
4. Your account
You are responsible for your account, for keeping your password confidential, and for everything that happens under your account. Tell us promptly at if you believe your account has been compromised.
One account belongs to one person. Do not share credentials, and do not let someone else sign off on a record using your account. Sign-offs in the Services are attestations about what a named person verified. A shared login makes that record false, and it undermines the compliance value of every record in your department.
Your FireCal account is a single account across the whole family. Signing in works the same way in every FireCal application, and your department membership travels with you.
5. The Services during pilot
The Services are currently offered in a pilot and pre-release state. Features may change, be added, or be removed. You may encounter faults. Data models may change, and in limited cases we may need to migrate or reset pre-release data, in which case we will give notice to affected departments first.
We tell you this plainly so you can decide what to rely on. Do not use the Services as your only record of anything you are legally required to keep until we have told you the Services have left pilot status and you have satisfied yourself that they meet your department's retention obligations. Keep your existing records until then.
6. Departments and organization accounts
6.1 The department controls its workspace
The Services are built around departments. A department decides who joins, what role each member holds (member, officer, or administrator), which applications and features are enabled, and what happens to the department's records.
6.2 The department owns its data
As between FireCal and the department, the department owns the records created in its workspace. This includes apparatus check records, work orders, task books and competency sign-offs, training records, schedules, reports, templates the department authors, and files uploaded to department records.
FireCal processes that data on the department's behalf. We do not claim ownership of it. We do not sell it. We use it to provide and improve the Services as described in these terms and in our Privacy Policy, and for no other purpose.
6.3 The department's responsibilities
The department is responsible for:
who it admits, and the roles it grants;
the accuracy and lawfulness of what its members record;
meeting its own retention, records, and privacy obligations;
notifying its members about how it uses the Services, where its law requires that;
responding to its members' requests about records the department controls.
6.4 Members, and what the department can see
If you use the Services as a member of a department, that department's administrators and officers can see the records you create in that department, your name and profile photo, and the sign-offs you perform, according to the permissions the department has set.
Your personal sharing and visibility preferences control discovery and personal sharing. They do not override a department's access to the records it hosts. A department's compliance access to its own records takes precedence over a personal visibility preference. If you do not want a department to see something, do not record it in that department's workspace.
6.5 Records the department keeps after you leave
When you leave a department, or delete your account, the department retains a frozen snapshot of records it relied on, for its own compliance and recordkeeping obligations. Sign-offs you performed remain attributed to you, showing your name as it stood at the time of signing.
When a department itself is deleted, its archived member snapshots are retained for seven years by default.
This is deliberate. Certification, competency, and apparatus records are routinely subject to state, NFPA, and accreditation retention requirements, and a record that can be erased by the person it describes is not evidence of anything.
6.6 Deleting a department
Deleting a department is permanent and is guarded. Depending on how many administrators the department has, deletion may require a second administrator to confirm, may notify members and allow them to dispute, and takes effect only after a waiting period. Administrators should treat department deletion as irreversible.
7. Your content
7.1 You keep your rights
You keep whatever rights you have in the content you create or upload ("Your Content"). We do not claim ownership of it.
7.2 The license you give us
You grant FireCal a worldwide, non-exclusive, royalty-free license to host, store, copy, transmit, display, reformat, and process Your Content, solely to operate, secure, support, and improve the Services for you and your department, and to do the things you ask the Services to do, such as generating a PDF, delivering a notification, or reading a document you submit to an import feature.
This license exists so the software can function. It ends when you delete the content or your account, except for the retained snapshots and sign-offs described in sections 6.5 and 15, backups that expire on their normal cycle, and anything we must keep by law.
We do not use Your Content to train artificial intelligence models.
7.3 You are responsible for what you record
You represent that you have the right to upload and record what you do, that it does not infringe anyone's rights, and that it is accurate to the best of your knowledge.
7.4 Sign-offs are permanent
A sign-off, once made, is a record that you verified something at a point in time. Sign-offs are designed to persist and to remain attributed to the person who made them, including after that person's account is deleted. Do not sign off on something you have not actually verified.
7.5 Visibility preferences
You can control whether other users can find you by search and what your profile shows. Please note that these preferences govern discovery and personal sharing. They do not limit what your department can see in its own workspace (section 6.4), and we are still strengthening how these preferences are enforced on our servers. Until we tell you otherwise, do not rely on a visibility preference alone to protect sensitive information.
7.6 Sharing a record with someone outside your department
You can invite a specific signed-in FireCal user to view an individual record, for mutual aid or a compliance request. That person gets read-only access to that record, including its attachments and sign-offs, until you or a department administrator revokes it. Make sure you have the authority to share the record before you do.
8. Our content and templates
The Services, including our software, designs, branding, documentation, and the catalog content we supply, belong to FireCal or our licensors, and are protected by intellectual property law. We grant you a limited, revocable, non-exclusive, non-transferable license to use the Services as they are intended, for your fire service work, while these terms are in effect.
You may not copy, modify, reverse engineer, decompile, resell, sublicense, or create derivative works from the Services, except where that restriction is unenforceable where you live.
Some catalog material we supply may originate with third parties and carry its own usage restrictions. Where we mark content as restricted, use it only inside the Services.
Templates you author remain yours under section 7.
9. Fees
The Services are currently provided to pilot departments without charge. We may introduce paid plans in the future. If we do, we will give notice before any charge applies to you, and you will have the opportunity to decline and stop using the paid features. We will not charge you for the Services without your agreement.
10. Acceptable use
You agree not to:
break the law, or use the Services to help someone break the law;
record something you know to be false, or sign off on a check, inspection, or competency you did not actually perform or verify;
upload malware, or attempt to gain unauthorized access to the Services, to another department's data, or to any account that is not yours;
probe, scan, or test the security of the Services without our written permission, or interfere with their normal operation;
scrape, bulk-export, or systematically harvest data you were given access to for another purpose;
use another person's account, or let another person use yours;
upload protected health information, patient care records, or other regulated health data. The Services are not designed for protected health information and we do not act as a HIPAA business associate;
upload personal information about people who are not users of the Services beyond what your department's recordkeeping legitimately requires;
harass, threaten, or abuse anyone through the messaging features;
resell or provide the Services to a third party as your own service.
If you find a security vulnerability, please report it to rather than exploiting it. We will not pursue good-faith security research that follows this request.
11. Artificial intelligence features
Several FireCal applications can read a document, a photograph of a paper form, or an audio clip and produce a draft record. These features are assistive drafting tools. They are not a substitute for your judgment.
You agree that:
A qualified person must review AI output before it is relied on. The Services present the extracted result for your review before saving. Review it. Do not save a draft you have not checked.
We do not guarantee that AI output is accurate or complete. These systems can misread handwriting, transpose figures, miss items, and produce items that are not in the source. This matters especially for equipment checks, quantities, pressures, and competency records, where a wrong number is a real-world hazard.
An AI-drafted record is your record. Once you review and save it, you are responsible for its accuracy exactly as if you had typed it.
Content you submit to these features is transmitted to our AI processor, as described in section 4 of our .
These features are enabled per department, and we may change, limit, or suspend them.
12. The Services are a recordkeeping tool, not a safety device
This section is important. Please read it carefully.
The FireCal Services are administrative recordkeeping software. They record what people tell them. That is all they do.
The Services are not a safety device, and they are not a substitute for anything that is:
The Services do not inspect anything. They do not test, measure, monitor, or verify the condition of any apparatus, vehicle, tool, appliance, protective equipment, or breathing apparatus. Only a qualified person physically examining the equipment can do that.
The Services do not replace your department's safety procedures, standard operating guidelines, inspection schedules, or maintenance program. They record the results of those procedures. They do not perform them and are not evidence that they were performed correctly.
The Services do not certify anyone's competency. They record sign-offs that qualified evaluators make. The evaluation is the evaluator's professional judgment, and the responsibility for it is the evaluator's and the department's.
The Services do not determine regulatory compliance. They do not verify that your records satisfy NFPA standards, state requirements, OSHA obligations, accreditation criteria, or any other authority having jurisdiction. Determining that is your department's responsibility.
The Services are not for emergency dispatch or emergency communication. Do not rely on any FireCal application, notification, or message to summon help, to report an emergency, or to communicate anything time-critical on an incident scene. Use your radio and your established dispatch system. Notifications may be delayed, may fail, and depend on networks and devices we do not control.
A green record does not mean a safe apparatus. A record showing a completed check means someone entered that a check was completed. It does not mean the apparatus is serviceable. Never place a vehicle or a piece of equipment in service on the strength of a record in this software instead of an actual inspection by a qualified person.
Your department remains fully responsible for the safety of its personnel, the serviceability of its apparatus and equipment, the competency of its members, and its compliance obligations. Nothing in the Services shifts any of that to FireCal.
13. Disclaimers and limitation of liability
13.1 Availability
We work to keep the Services running, but we do not promise any particular level of availability, uptime, or performance. There is no service level agreement. The Services may be unavailable for maintenance, updates, faults, or reasons outside our control. We may modify, suspend, or discontinue any part of the Services, and we will give reasonable notice of a discontinuation where we can.
You are responsible for maintaining your own copies of records you need. Where the Services offer an export, use it.
13.2 Disclaimer of warranties
The Services are provided "as is" and "as available", without warranty of any kind. To the fullest extent permitted by law, FireCal disclaims all warranties, express, implied, and statutory, including any implied warranties of merchantability, fitness for a particular purpose, title, non-infringement, accuracy, and any warranties arising from course of dealing or usage of trade.
We do not warrant that the Services will be uninterrupted, secure, error free, or free of data loss, that defects will be corrected, or that the Services or their output will meet your requirements or any legal, regulatory, or accreditation standard.
Some jurisdictions do not allow the exclusion of certain warranties, so parts of this section may not apply to you.
13.3 Limitation of liability
To the fullest extent permitted by law, FireCal will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost data, business interruption, loss of goodwill, or the cost of substitute services, arising out of or relating to these terms or the Services, whether based in contract, tort, negligence, strict liability, or any other theory, and whether or not we were advised of the possibility.
FireCal's total aggregate liability arising out of or relating to these terms or the Services will not exceed the greater of (a) the total amount you paid FireCal for the Services in the twelve months before the event giving rise to the claim, or (b) one hundred United States dollars (USD 100).
These limits apply even if a limited remedy fails of its essential purpose. Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you.
Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by our negligence, for fraud, or for fraudulent misrepresentation.
14. Indemnification
You agree to defend, indemnify, and hold harmless FireCal LLC and its officers, members, employees, and agents from any claim, demand, loss, liability, damage, cost, or expense, including reasonable legal fees, arising out of or relating to: your content; your use of the Services; your violation of these terms or of any law; your department's reliance on records in the Services in place of an actual inspection, evaluation, or safety procedure; or your violation of anyone's rights.
We will notify you of any such claim and may participate in its defense with counsel of our choosing. You will not settle any claim in a way that imposes an obligation on FireCal without our written consent.
15. Term and termination
15.1 Your right to stop
You may stop using the Services at any time. You may delete your account from inside any FireCal application, under the More tab, then Delete Account. Deletion enters a 30-day grace period, during which you can sign in and cancel it. Administrators of departments you belong to are notified when deletion is scheduled, so they can capture compliance evidence they are required to retain.
What deletion does and does not remove is described in section 8 of our and in section 6.5 above.
15.2 Our right to suspend or terminate
We may suspend or terminate your access, with notice where practical, if you materially breach these terms, if your use creates a security risk or legal exposure for us or another user, if we are required to by law, or if you have not used the account for a long period and we are retiring it. For serious breaches, including falsifying safety records, we may act immediately.
We may also discontinue the Services entirely. If we do, we will give departments reasonable notice and a period to export their data.
15.3 What survives
Sections 6.5 (retained records), 7.4 (sign-offs), 8 (our content), 10 (acceptable use, as to past conduct), 12 (recordkeeping tool, not a safety device), 13 (disclaimers and liability), 14 (indemnification), 15.3, 16, and 18 through 22 survive termination.
16. Feedback
If you send us ideas, suggestions, or feedback about the Services, we may use them without restriction and without owing you anything. We are not taking your confidential information by doing so, and we would rather you told us what is wrong with the software than kept it to yourself.
17. Changes to these terms
We may update these terms. When we do, we will update the effective date above. For material changes, we will give notice in the applications or by email before they take effect.
Your continued use of the Services after a change takes effect means you accept the updated terms. If you do not accept them, stop using the Services and delete your account.
We keep a record of which version of these terms you accepted and when.
18. Third party services
The Services rely on third parties, including Google Firebase for infrastructure, Anthropic for AI processing, and Twilio and SendGrid for message delivery. Their performance is outside our control, and we are not liable for their acts or omissions beyond our own responsibility as described in these terms. Our Privacy Policy lists what each one processes.
19. Entire agreement, severability, assignment, waiver
These terms and the Privacy Policy are the entire agreement between you and FireCal about the Services, and replace any earlier agreement about them, including any terms that previously applied through the legacy CertLocker documents.
If any provision is found unenforceable, it will be limited or removed to the minimum extent necessary and the rest stays in force.
You may not assign these terms without our written consent. We may assign them to an affiliate or in connection with a merger, acquisition, or sale of assets.
Our failure to enforce a provision is not a waiver of it.
Nothing in these terms creates a partnership, joint venture, employment, or agency relationship between us. There are no third party beneficiaries.
20. Governing law and disputes

21. App store terms
If you obtained a FireCal application through the Apple App Store or Google Play, the terms of that store also apply to your use of the application, and you agree to comply with them. Where a store's terms require something more protective of you than these terms, those terms control for that application. The store is not responsible for the Services and is not a party to this agreement, though Apple and its subsidiaries are third party beneficiaries of these terms with respect to applications obtained through the App Store.
